10 tips for planning a perfect wedding

1. Choose vendors you feel a real connection with

Beyond Instagram, followers or recommendations, what matters is how that vendor's work makes you feel. When you see their photos or videos, ask yourselves: Does this represent us? Does it move us? Can we see ourselves here? And even more importantly: Do we feel comfortable talking to them? On your wedding day you'll spend many hours with your team. Connection, trust and good energy matter far more than it seems.

2. Try to have the freedom to choose your own team

Something we see frequently is venues recommending (or outright requiring) you work with certain vendors. Although it's sometimes presented as an advantage, our recommendation is to prioritise venues that allow you to choose freely whenever possible. Why? Because in many cases those vendors are part of commercial agreements with the venue. And while that doesn't mean they're bad professionals, it also doesn't necessarily mean they're ideal for you. Your wedding should be built around your vision, not someone else's operations.

3. Understand exactly what you're hiring (and what happens if something doesn't go to plan)

This seems obvious, but you'd be surprised how many couples book without actually reviewing contracts and conditions. Before confirming any vendor, make sure you understand: • What exactly the service includes. • What's not included. • What extra costs might appear later. • How extended hours or last-minute changes work. • What happens in case of illness, accident or any major unforeseen event. A professional vendor doesn't just do their job well when everything goes to plan. They also have structure, a team and a plan B when things get complicated.

4. Prioritise vendors who work professionally and transparently

Clear quotes, legal invoicing and well-presented documentation aren't bureaucracy: they're signs of professionalism. When a vendor works with order and transparency, that usually reflects in how they manage their service too. Paying a vendor off the books puts the service at risk: if something goes wrong, who proves payment was made?

5. Design a good timeline… and commit to respecting it

A good timeline can completely change how a wedding is experienced. But it's not enough to design it: you have to stick to it. We often see perfectly planned timelines that fall apart because makeup starts late, preparations run over or simply nobody controls the timing. Generally this isn't the vendors' fault. In the end, what seemed like a small delay ends up affecting everything: less time for couple's portraits, less beautiful light, more rushing, more stress. The key is that everyone (including you) understands that the schedule is part of the experience.

6. Consider an unplugged ceremony

More and more couples ask their guests to put their phones away during the ceremony. And honestly: it's usually one of the best decisions they make. It doesn't just vastly improve the visual result of photos and video — it means everyone is much more present in the moment.

A wedding is one of the most demanding work environments that exists in audiovisual and events. There are no retakes. There's no room for failure. There's no second chance. 8. If a friend or family member leads the ceremony, prepare them well

Having someone close officiate or lead part of the ceremony can be something beautiful and very personal. But it's also important to remember it's not their profession. That means without preparation they can make very common mistakes: miscoordinating entrances, extending timing, forgetting key cues or not leaving enough margin for the rest of the team to be ready. If you want to do it this way, perfect — but prepare that moment with the same care as any other important aspect of the wedding.
